Confidentiality of client materials

In the course of an engagement, clients commonly share confidential materials with us — product specifications, design files, source code, datasets, credentials, and similar. We treat all such materials with the care a professional studio is expected to:

Client materials are used solely to deliver the engagement and only by team members working on it.
Client materials are never used to train models and are not shared with third parties for their independent purposes.
On request, or at the end of an engagement, client materials in our custody are deleted from our active systems and our backups within commercially reasonable timeframes.
Where a client requires a separate Non-Disclosure Agreement, Master Services Agreement, or Data Processing Addendum, those documents govern in case of conflict with this Privacy Policy.

How we collect your personal information

aicodecomb collects personal information from you upon your registration for our Services and upon your log-in to or accessing of our Website or Services. We collect any additional information about you when you interact with us electronically or in person, when you access our Website and when we provide our Services to you.

In order to evaluate, scope, and deliver an engagement, you may share project materials and other data with us through email, file-sharing tools, or our internal systems. At that point, your data is stored on our cloud storage and any necessary processing of this data will occur in compliance with our data protection policies and only for the purpose of providing the Services or the engagement to you.

To administer your account with us and provide you with our Services;
To respond to your inquiries and deliver reminder e-mails to you;
To provide you with information regarding updates and changes to our Website, our Terms of Service or any Services we offer or provide through it;

aicodecomb may use third-party payment processors including Stripe or other credit card provider platforms for payment transactions. Wherever you designate a payment source for transaction processing with us through any platform, you are responsible for visiting, understanding, and abiding by all terms of such platforms and such payment sources.

How long we keep your information

We will keep your personal information for as long as you use our Website and our Services. You have the right to request that your personal information is permanently removed from our system and database at any time. We will accommodate such requests within 45 (forty-five) days or less. These individuals are bound by confidentiality obligations and may be subject to discipline, including termination, if they fail to meet these obligations;
We back up all client data in multiple data centers enabling speedy recovery in case of a disaster;
Whenever possible we will make sure we pseudonymize all personal or related data.

The safety and security of your information also depends on you. Where we have given you a password or API key for access to certain parts of our Website or Services, you are responsible for keeping it confidential. We ask you not to share your credentials with anyone. We urge you to be careful about giving out information in public areas of the Website or our platforms that support or make them available or usable, including chats or message boards. The information you share in public areas may be viewed by any user of the Website or our Services.

Commercial and non-commercial communication
